The Role

The Human Resources Generalist plays a vital role in supporting the daily operations of the HR department at Elmwood Village Charter Schools. This position is responsible for executing a wide range of HR functions, including recruitment and staffing, onboarding, benefits administration, employee relations, regulatory compliance, and maintaining accurate personnel records.

The ideal candidate is a collaborative, detail-oriented professional who thrives in an educational environment and is deeply committed to supporting a diverse, equitable, and inclusive workplace for our instructional and non-instructional staff.

Essential Responsibilities & Duties

Recruitment, Talent Acquisition & Onboarding

  • Manage the full-cycle recruitment, hiring, and onboarding process for instructional, administrative, and support staff (posting jobs, screening resumes, coordinating interviews, making offers, preparing offer letters, and providing a welcoming introduction to the EVCS work culture).
  • Partner with leaders and hiring managers to identify staffing needs and talent gaps.
  • Lead the onboarding process, ensuring all new hires complete required documentation, onboarding trainings, and background checks/fingerprinting clearance via the New York State Education Department (NYSED).
  • Conduct new hire orientations to introduce employees to EVCS culture, policies, and benefits.

Benefits & Compensation Administration

  • Coordinate open enrollment and administer employee benefits programs, including health, dental, vision, life insurance, and retirement plans (including coordination with the New York State Teachers’ Retirement System – NYSTRS, if applicable).
  • Assist employees with benefits inquiries, open enrollment periods, form completion, and life event changes.
  • Oversee payroll processing and accurate tracking of hours, leaves of absence, paid time off (PTO), accurate deductions, and salary adjustments.

Compliance & Record Keeping

  • Maintain meticulous, confidential personnel files in compliance with federal, state, and local laws, as well as NYSED and charter authorizer requirements.
  • Track and audit employee certifications, licenses, and continuing education credits to ensure compliance with New York State teaching requirements.
  • Assist with annual reporting requirements (e.g., BEDS data, EEO-1, OSHA logs).

Employee Relations & Culture

  • Serve as a trusted point of contact for employee inquiries regarding school policies, procedures, and workplace concerns.
  • Promote a positive, inclusive school culture aligned with EVCS’s core values of community, collaboration, and social justice.
  • Assist leadership with the annual performance evaluation process.

Training and Compliance

  • Organize annual required trainings and ensure employee completion (i.e. Title IX, Sexual Harassment, Workplace Violence/Safety)
  • Conduct investigations related to policy violations, grievances, or complaints in accordance with EVCS policies, and federal and state laws
  • Support managers with consistent application of corrective and disciplinary actions
  • Serve as the Civil Rights Compliance Officer (CRCO) and Title IX Coordinator
  • Collaborate with legal counsel to maintain the employee handbook annually
  • Serve as the primary liaison with legal counsel in personnel matters 

Qualifications & Requirements

  • Education: Bachelor’s degree in Human Resources or related field.  Masters Degree highly valued.
  • Certification: PHR/SPHR or SHRM-CP/SHRM-SCP certification highly preferred.
  • Experience: 3–5 years of progressive HR experience, preferably in a K-12 education setting, charter school, or non-profit organization. 
  • Knowledge: Strong understanding of federal and New York State labor laws (FMLA, PFL, ADA, Workers’ Comp), and Title IX.
  • Technology: Proficiency with HRIS platforms, Applicant Tracking Systems (ATS), Payroll systems, and Microsoft Office Suite / Google Workspace. 
  • Discretion & Trust: Ability to handle highly sensitive and confidential information with the utmost integrity.
  • Collaboration: Exceptional interpersonal skills and a desire to work in a highly collaborative, team-oriented school environment.
  • Communication: Strong verbal and written communication skills.

Job Description: Central Office Assistant

Status: Full Time Non-Exempt 

Duration: 12 Month Employee

Location: Shared

Reports to:  Director of Operations

Salary: $35,000-$40,000

The Opportunity

We are seeking a dedicated, solutions-focused, driven person who will work in the following areas: 

General Administration

  • Serve as a reliable liaison between central office departments and campus main office staff
  • Execute administrative tasks including data entry, filing, digital organization, and phone correspondence
  • Manage special projects as assigned

Support for each department will include:

Admissions/Registrar

  • Assist with registering new families, as assigned
  • Update school files, as assigned, in the vault and electronically
  • Perform and follow up on records requests throughout the year
  • Assist with address changes and student billing

Business Office

  • Assist with mailing, filing, data entry, etc. 
  • Special projects

Operations

  • Oversee picture days for each school, in collaboration with the main office staff
  • Manage walkie talkies, including distribution, programming, and light repair
  • Help coordinate and execute district wide events, such as staff holiday party, meals for professional development, family events, etc, as assigned (with assistance from main office staff)

Communication & Community Outreach

  • Assist with printing and distribution of materials
  • Occasional outreach in the community in collaboration with other EVCS staff

Qualifications

Education: 

  • Minimum of a High School Diploma or equivalent required; Bachelor’s degree preferred.

Experience: 

  • Minimum of two (2) years of successful experience in a professional office setting; experience working within a K-12 school environment is highly preferred.
  • Technical Skills: Proficiency with standard office software (e.g., Google Workspace, MS Office, including Excel) and general knowledge of modern office systems.

Skills:

  • Discretion: Proven ability to handle sensitive information with confidentiality and professionalism.
  • Attention to Detail: Exceptionally organized with a high degree of accuracy in data entry and record-keeping.

The Role

We are looking for a service-oriented Front Office Administrative Assistant with great interpersonal skills and attention to detail to provide administrative support to the school’s front office. 

Position Summary

The Main Office Administrative Assistant manages the organization and logistics of main office operations, including student transportation. This role requires an exceptionally organized, empathetic, and detail-oriented professional who can multitask in a fast-paced environment, solve logistics challenges with urgency, and maintain a warm, welcoming atmosphere.

Key Responsibilities

1. Main Office Operations 

  • Support the school receptionist as the primary point of contact for the school; greet visitors, answer phones, route calls, and respond to public inquiries with a professional, helpful, and welcoming demeanor.
  • Maintain a clean, organized, and secure main office environment.
  • Manage daily student attendance records, tracking tardies, early dismissals, and absences in the Student Information System (SIS).
  • Collaborate with school leadership on tasks and communication related to EVCS attendance policies.
  • Assist with the distribution of school mail, deliveries, and internal communications to staff and families.
  • Provide administrative support to the Building Principal and leadership team as needed (e.g., filing, copying, drafting correspondence).

2. Transportation Coordination & Logistics 

  • Serve as the primary liaison between EVCS, families, the Buffalo Public Schools (BPS) Transportation Department, and independent bus vendors.
  • Coordinate, update, and maintain accurate daily bus rosters, routes, and student transportation assignments.
  • Manage the daily dismissal logistics, ensuring students are safely, accurately, and efficiently loaded onto the correct buses or directed to parent pick-up.
  • Act with absolute urgency to resolve daily transportation issues, such as delayed buses, or inclement weather disruptions.
  • Proactively communicate transportation updates, delays, or changes to parents and school staff via text, email, or phone alerts.
  • Process and submit annual BPS transportation applications and required paperwork for eligible students, ensuring strict adherence to city and state deadlines.

3. Data Integrity & Compliance 

  • Ensure all student information and transportation data in the school’s database is accurate and updated in real-time.
  • Manage the the collection and processing of school forms and information (e.g., change of address, emergency contact cards, do-not-photo permissions and custody records).
  • Maintain all student files and records in compliance with FERPA regulations and fulfill records requests in a timely manner.

Qualifications & Skills

  • Education: High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Experience: Minimum of 2–3 years of experience in an administrative assistant, secretarial, or customer service role (experience in a school or district setting is highly preferred).
  • Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel), Google Workspace, and experience navigating Student Information Systems (e.g., PowerSchool, Infinite Campus).
  • Core Competencies:
    • The “Air Traffic Controller” Mindset: Ability to stay calm, focused, and polite under pressure during chaotic times of the day (like morning arrival and afternoon dismissal).
    • Strong Communication: Exceptional verbal and written communication skills.
    • Problem-Solving: Ability to think on your feet and resolve logistical issues independently and urgently.
